A hotel bed linen set is only comparable when both quotations contain the same components and specifications. The phrase double bed set can hide differences in sheet dimensions, pillowcase quantities, closures and packaging. Write the component list before requesting prices.
Measure the bed rather than relying on size names
Record mattress length, width and depth, including any topper used in service. For fitted sheets, discuss the intended pocket depth and fit after the agreed laundering process. For flat sheets, define the finished dimensions and the required tuck allowance.
Give pillows and duvet inserts their own measurements. A cover should be developed around the actual insert and closure requirement, rather than around a regional bed-size label.
Create a component specification
- Flat sheet: finished dimensions, hem details and fabric construction.
- Fitted sheet: mattress measurements, pocket construction and elastic arrangement.
- Pillowcase: finished size, opening and envelope or closure detail.
- Duvet cover: insert measurements, opening position and closure.
- Set packing: exact component quantities and stock identification.
For each line, include composition, colour, relevant fabric weight or construction information and acceptance tolerances. Thread count alone is not a complete quality specification; it does not replace the yarn, weave, finishing and wash assessment.
Test the complete made bed
Wash the development samples using the intended process, measure them and make the bed with the normal mattress, topper and inserts. Check fitted-sheet corners, duvet insertion, pillowcase closure and the housekeeping team’s handling.
Keep pre-wash and post-wash measurements separate. Agree the wash method and acceptable results with the supplier. An oversized unwashed cover is not evidence that the final fit will be correct after commercial laundering.
Plan replacements and stock codes
A set sold together may still need components replaced separately. Ask for quantities and terms for each component, and give each size a clear identifier. White bedding also needs approved shade references when combining separate deliveries.
Specify carton labels by component and size, particularly where several room categories share a delivery. If individual set packs are needed, confirm that packing requirement explicitly.
Send a usable quotation brief
Include a bed measurement schedule, component quantities, fabric preferences, laundry information, destination and required delivery timing. Review our hotel bedding and linen range and duvet cover fit guide. The packing and shipping guide helps organise carton and document approvals.
