Buying hotel towels starts with a stock plan. A low price per piece is less useful when clean towels run out during a busy changeover. PAR planning gives housekeeping and purchasing a shared way to count the stock needed for rooms, laundering and a working reserve.
Define one PAR for your property
For this planning worksheet, one PAR means the quantity needed to equip the selected operating area once. If each of 100 rooms receives two bath towels, one PAR of room bath towels is 200 pieces. Calculate hand towels, washcloths and bath mats separately because their allocation may differ.
Write the agreed room allocation down before using any multiplier. Include suites, accessible rooms and other accommodation types with different setups. Keep pool and spa usage outside the room calculation until those departments have their own stock plan.
A worked room-stock example
Suppose a 100-room property plans two bath towels, two hand towels, two washcloths and one bath mat per room. With a four-PAR planning assumption, the calculation is:
- Bath towels: 100 × 2 × 4 = 800 pieces.
- Hand towels: 100 × 2 × 4 = 800 pieces.
- Washcloths: 100 × 2 × 4 = 800 pieces.
- Bath mats: 100 × 1 × 4 = 400 pieces.
The four-PAR assumption is an example, not a requirement for every hotel. The result is a planning baseline before separately budgeting damaged-stock replacement, opening reserves or other departments.
Choose the stock multiplier from your operation
Assess how long stock spends in guest rooms, laundry, transport and clean storage. A property using an external laundry with weekend delays may need a different reserve from one with reliable same-day processing. Ask housekeeping and the laundry operator to agree the stock cycle before approving a purchase quantity.
Use occupancy patterns, turnaround records and peak demand to challenge the assumption. A lower stock count can leave little recovery time after laundry disruption; a higher count ties up more money and storage space.
Keep pool, spa and gym stock separate
Plan these departments from expected users, pieces issued per user, turnaround and a reserve. Two pool visits by the same guest can create different demand from a single room allocation. Count departmental stock separately so housekeeping does not unknowingly rely on towels already assigned to the pool.
Set a replacement trigger
Track usable pieces, rejects, losses and open orders. A simple starting point is expected replacement use during replenishment lead time plus a working reserve. Use observed consumption rather than a guessed annual percentage. Review the trigger when occupancy, laundry or shipping arrangements change.
