A useful supplier comparison starts with the same purchasing brief. If each manufacturer quotes a different size, yarn, GSM or packing arrangement, the lowest unit price may describe a different product. Build a comparison sheet that records both the offer and the evidence behind it.
Confirm the business and production scope
Ask for the business’s legal identity, contact details and the production stages relevant to your order. Clarify which stages are carried out in-house and which involve other facilities. A supplier should explain its actual scope rather than leaving you to infer it from machinery photographs.
Discuss how samples, production checks and final inspection are arranged. A factory visit or agreed remote review can help resolve questions, but it should focus on the process needed for your specified product.
Send one technical brief to each supplier
- Finished dimensions, composition and target GSM.
- Pile, border, colour and hem requirements.
- Logo, label and packaging artwork.
- Quantities by size and colour.
- Sample approval and wash-test requirements.
- Delivery destination and requested timing.
Record assumptions beside each quotation. Confirm whether development, labels, individual packing and other requested items are included. Ask about minimum quantities by item and shade rather than assuming a quoted total covers every option.
Compare the approval process
Assess equivalent samples using the same wash process. Keep measured dimensions, piece weight, appearance observations and any agreed test reports together. Ask how the approved sample and tolerance sheet will guide bulk inspection.
Where a certification is requested, check the exact certificate, scope and validity using the relevant scheme. A logo on a website is not enough to establish that your proposed order is covered.
Check repeat-order practicality
Agree how product codes, shade references and artwork versions are retained. Discuss how future specification changes will be communicated, and how replacement shades or sizes will be approved. Lead times and availability should be confirmed for the actual order; past performance is not a guarantee of a future delivery date.
